1. Who we are
RareVinyl.com is a trading name of Esprit International Limited, a company registered in England and Wales (company number 02402175, VAT number GB662066834). Our other trading names include eil.com, 991.com and Vinyl-Wanted.com. In this policy "we", "us" and "our" mean Esprit International Limited. We are the "controller" of the personal information described here.

2. What information we collect
- Information you give us: your name, email address, postal and billing addresses, phone number, order details, account login, messages you send us (by email, contact form, phone or live chat), reviews, wishlists, back-in-stock requests and survey answers.
- Payment information: card and payment details are handled by our payment providers (such as Shopify Payments, Shop Pay and the other options shown at checkout). We do not see or store your full card number.
- Information collected automatically when you use our site: your device and browser type, IP address and approximate location, the pages and products you view, what you search for, what you add to your basket, how you arrived at our site (for example from an advert or email), and cookie and similar identifiers. See section 6.
- Information from other companies: advertising and analytics partners may tell us how you responded to our adverts. Some partners (see section 6) may recognise a visitor using information they already hold and give us or our email platform a contact identifier, such as an email address.
3. How we use it, and our lawful basis (UK and EU)
- To take, process, deliver and support your orders, returns and refunds, and to run your account. Basis: to perform our contract with you.
- To keep accounting and tax records and meet other legal duties. Basis: legal obligation.
- To prevent fraud and misuse of our site, payments and adverts. Basis: our legitimate interests in protecting our business and customers.
- To answer your questions and provide customer service. Basis: contract or legitimate interests.
- To send you marketing emails about records and offers. Basis: your consent, or, where you have bought from us, our legitimate interests in telling existing customers about similar products (the "soft opt-in"). Every marketing email has an unsubscribe link.
- To understand how our site is used and improve it (analytics, testing different page designs). Basis: your consent where cookies or similar technology are needed, otherwise legitimate interests.
- To show you adverts for our products on other websites and apps, and measure how well they work. Basis: your consent where the law requires it (for example for non-essential cookies in the UK and EU).
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects on you.
4. Who we share it with
We share personal information only as needed for the purposes above, with:
- Our e-commerce and payment platforms: Shopify (which hosts our shop and checkout) and our payment providers.
- Delivery companies and couriers, who need your name, address and contact details to deliver your order.
- Service providers who help us run the site and our business, including email (Klaviyo), site search (Searchanise), live chat (DelightChat), pop-ups and sign-up forms (Alia), reviews (Trustpilot), wishlists (Wishlist King), back-in-stock alerts (Restock Rocket), site speed (Yottaa), page testing (Intelligems), surveys (Kno), cookie consent (Consentmo), tracking infrastructure (Elevar) and attribution (Kendall).
- Advertising and analytics partners (see section 6), including Google, Meta (Facebook and Instagram), Microsoft (Bing), TikTok, Pinterest, tvScientific, and affiliate networks (Impact, UpPromote).
- Professional advisers, such as our accountants and lawyers, and authorities where the law requires it.
- A buyer of our business, if it is ever sold.
We do not sell your personal information for money. We do share information about your use of our site with advertising partners so that we can show you relevant adverts. Some US state laws call this "selling" or "sharing". See section 9 for your choices.
5. Where your information goes
Many of our service providers are based in, or store data in, the United States and other countries outside the UK and European Economic Area. Where we transfer personal information from the UK or EU, we rely on adequacy decisions (including the UK-US Data Bridge and the EU-US Data Privacy Framework, where the provider is certified) or on standard contractual clauses approved by the UK and EU authorities.
6. Cookies, pixels and similar technology
Our site uses cookies and similar technology (such as pixels, tags and local storage). Some are needed for the shop to work, for example to keep items in your basket and to process checkout. Others help us understand how the site is used, show you adverts, and measure those adverts.
In the UK and EU we show a cookie banner asking for your choices. You can change your choices at any time using the Privacy button at the bottom of the page. You can also block or delete cookies in your browser settings, though parts of the site may then not work.
The main non-essential technologies on our site are:
- Analytics and site improvement: Google Analytics and Google Tag Manager; Shopify analytics; Intelligems; Kendall; Elevar.
- Advertising and measurement: Google Ads; Meta Pixel; Microsoft Advertising; TikTok Pixel; Pinterest Tag; tvScientific; Impact and UpPromote (affiliates); ClickCease (detects fraudulent clicks on our adverts).
- Visitor recognition and audience services: Customers.ai, LiveIntent and Retention.com. These services may recognise a visitor to our site by matching cookie or device identifiers with information they already hold, which can include an email address. We use them to show relevant adverts and, where the law allows, to send emails.
- Email and pop-ups: Klaviyo and Alia remember whether you have signed up and what you have viewed, so that we can send relevant emails if you have agreed to receive them.
Cookies last from the end of your visit up to about 13 months, depending on the provider. You can see the list of cookies and change your choices through the Privacy button.
7. How long we keep it
- Order, invoice and payment records: 6 years after the end of the financial year of the order, as UK tax law requires.
- Your account: until you ask us to close it, and then only what we must keep for our records.
- Marketing: until you unsubscribe. We keep your email address on a "do not contact" list so that we respect your choice.
- Customer service messages and chats: for as long as needed to deal with your query and any follow-up, normally up to 3 years.
- Cookies and similar technology: as set out in section 6.
8. Your rights (UK and EU)
You have the right to: ask for a copy of your personal information; ask us to correct it; ask us to delete it; ask us to limit or stop using it; object to our using it for direct marketing (at any time) or on the basis of legitimate interests; ask us to send it to you or another company in a usable format; and withdraw consent at any time, without affecting what we did before.
To use these rights, email sales@rarevinyl.com. There is no charge. We may need to confirm your identity. We will reply within one month, or tell you if we need longer because the request is complex.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the UK Information Commissioner's Office (ico.org.uk, 0303 123 1113) or, in the EU, to the data protection authority where you live.
9. If you live in the United States
Depending on your state, you may have the right to know what personal information we collect and how we use and share it, to access, correct or delete it, and to opt out of the "sale" or "sharing" of your personal information for targeted advertising. We collect the categories of information described in section 2, from the sources and for the purposes in sections 2 and 3, and share them with the categories of recipients in section 4. We do not knowingly sell or share the personal information of anyone under 16.
To make a request, including to opt out of targeted advertising, email sales@rarevinyl.com with the subject "Privacy request". We will not treat you differently for using your rights. You can also use the Your Privacy Choices link at the bottom of our site, and we treat a Global Privacy Control signal from your browser as an opt-out request.
10. Security
We use appropriate technical and organisational measures to protect your information, and our providers are bound to keep it secure. No website can be completely secure, so please keep your account password private.
11. Children
Our site is not aimed at children under 16, and we do not knowingly collect their personal information.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make significant changes, we will tell you on our site or by email.
